Built for businesses that move product, not just bill hours

Distribution runs on thin margins and lots of moving parts: suppliers in several currencies, freight that arrives on a separate bill, customers with their own pricing, and stock spread across warehouses. Generic small-business accounting tends to bolt inventory on as an afterthought, which leaves the warehouse in one system and the ledger in another.

SeroBooks was built for product businesses. Inventory, purchasing, sales and the general ledger share one double-entry ledger, so a goods receipt updates stock and the balance sheet at the same moment, and a customer invoice relieves stock and records cost of goods sold without a separate sync step. Reports pull from the same entries, so the warehouse and the accountant see identical numbers.

Order to cash

Quotes become sales orders, sales orders become invoices, and payments are received against them. Price lists let you hold contract pricing for key accounts, and batch invoices handle large runs at month-end. Credit notes and customer statements keep disputes and balances clear. Sales orders also show what is committed, so you do not promise the same stock twice.

Accounts receivable reports show ageing by customer, finance charges can be applied to overdue accounts, and card payments can be taken through Global Payments or Moneris terminals. For walk-in trade customers, SeroBooks counter sales or SeroPOS at the will-call desk record the sale in the same books. Either way, every sale shares one customer record and one receivables balance.

Buy, receive and cost correctly

Purchase orders go to suppliers, goods received notes record what actually arrived, and bills are matched to both. Purchase returns handle shorts and damages. Foreign-currency bills cover overseas suppliers, and payment runs let you pay a batch of suppliers at once, with cheque printing for those who still want paper.

Landed cost is where many distributors lose margin without noticing. SeroBooks spreads freight, duty and brokerage across the items on a receipt, so the cost in your stock valuation and your gross margin reports matches what you really paid to get the product onto the shelf. Foreign-currency purchases are converted so landed costs land in your home currency.

Warehouse control and forecasting

SeroBooks tracks stock by location and warehouse bin, with stock transfers between sites and adjustments recorded with a reason. Batch and expiry tracking covers food, health and chemical products, and serial numbers cover equipment and electronics. Barcode labels can be printed for receiving and picking. Every movement leaves a record you can trace when a customer or auditor asks.

Demand forecasting uses two lead times to suggest when and how much to reorder. On SeroBooks Pro, forecasting is included, and Maya, the AI employee in SeroBooks, can draft purchase orders and reorder points for your approval. Maya never acts without approval, and every action is audited. Forecasts come with confidence ranges and plain-English drivers so buyers understand the suggestion.

Moving off QuickBooks Desktop

Many distributors have run QuickBooks Desktop for years and are wary of losing history. SeroBooks includes a QuickBooks Desktop migration with a dry run, so you can review the import before committing, and a desktop-style workspace with familiar menus so the team is not starting from scratch. You can compare balances to the cent before switching over for good.

Multi-location, roles and permissions enforced on the server, approvals and an audit trail on Pro give owners control as the team grows. If you also sell online, SeroPOS syncs with Shopify, WooCommerce and Amazon and ships through ShipStation, posting into the same SeroBooks ledger. Staff only see the menus and numbers their role allows.

Frequently asked questions

Does SeroBooks support landed cost?

Yes. SeroBooks allocates freight, duty and other import costs across the items on a receipt, so inventory valuation and gross margin reflect the full cost of getting product into your warehouse. It works alongside purchase orders, goods received and foreign-currency bills from overseas suppliers.

Can I track stock across several warehouses?

Yes. SeroBooks tracks inventory by location and warehouse bin, records stock transfers between sites and logs adjustments. Pro includes three locations, and extra locations are $100 USD a month each. Batch, expiry and serial tracking are available when your products need traceability.

Which SeroBooks plan suits a distributor?

Starter is $79.99 USD a month and Standard is $150 USD a month, each with five users and one location. Pro is $300 USD a month with six users, three locations, payroll for Canada and the US, forecasting, job costing and an audit trail. All plans include a 14-day free trial.

Can I migrate from QuickBooks Desktop?

Yes. SeroBooks includes a QuickBooks Desktop migration with a dry run, so you can check the results before committing. The workspace uses familiar QuickBooks Desktop-style menus, and penny-verified export means you can confirm balances match. A QuickBooks module add-on is available for $100 USD a month.

Does SeroBooks connect to my online store?

SeroBooks connects directly to Amazon and Stripe. Shopify and WooCommerce sync runs through SeroPOS, which also handles Amazon and ShipStation and posts into SeroBooks. That lets online orders, wholesale invoices and warehouse stock all land in the same ledger. Wholesale and retail orders share one customer list.
