Ordering from suppliers

Purchasing begins with knowing what to order and when. In SeroPOS, low-stock alerts and supplier records make it simple to raise a purchase order from the counter or the back office. In SeroBooks, demand forecasting with two lead times suggests what to reorder and when, and Maya, the AI employee in SeroBooks, can draft purchase orders for a person to review and approve.

Each purchase order records the supplier, the items, the quantities and the agreed prices, so there is no argument later about what was ordered. Vendor management is included in SeroPOS Standard, and SeroBooks keeps a full supplier ledger with balances, terms and history, so you can see at a glance what you buy from whom and how reliably they deliver.

Receiving goods and creating bills

When a delivery arrives, receive it against the purchase order. Partial deliveries are normal, and SeroBooks records what came in while keeping the rest of the order open until it arrives or you close it. Stock updates as soon as goods are received, and landed cost spreads freight and duty across the items so the unit cost of each product reflects what it really took to get it.

The supplier’s invoice then becomes a bill. You can enter it by hand, convert the purchase order directly, or photograph the paper invoice or receipt and let SeroBooks scanning create the draft bill for review. The photo stays attached to the transaction, which saves hunting through a shoebox of paper when your accountant asks for support.

Paying suppliers

Accounts payable in SeroBooks shows what you owe, to whom and when it is due. Payment runs let you select a group of bills and pay them in one pass, and cheque printing handles suppliers who still want paper. Each payment clears the bill and posts to the right bank account in the ledger, ready to be matched during bank reconciliation at the end of the month.

Foreign-currency bills are recorded in the supplier’s own currency, which matters for Canadian businesses buying from US suppliers and the reverse. Approvals can require a second person to sign off before larger payments go out, and role-based permissions control who can create bills, who can approve them and who can actually release the money.

One flow, one ledger

Because SeroPOS and SeroBooks share the same lineage, a purchase order raised at the counter and goods received in the back room end up in the same ledger as the sales they support. Your margin reports compare what you paid with what you sold it for, item by item, rather than relying on an average cost that hides which products are actually making money.

SeroPOS starts at $29.99 a month and SeroBooks at $79.99 a month in USD, each with a 14-day free trial. If you are moving from QuickBooks Desktop, the migration brings suppliers and open bills across with a dry run first, so you can check that balances match before you start paying suppliers from SeroBooks.

Frequently asked questions

Can SeroBooks create a bill from a photo?

Yes. SeroBooks includes receipt and invoice scanning. Photograph a supplier invoice or receipt, and SeroBooks creates a draft bill for you to check and save. It reduces typing, catches the details you would otherwise key in by hand, and keeps a copy of the source document with the transaction for your accountant.

Does SeroBooks print cheques?

Yes. SeroBooks prints cheques for supplier payments, including payments made through a payment run that covers several bills at once. Each payment clears the related bills and posts to your bank account in the ledger, so it is ready to reconcile when the cheque clears the bank.

Can I receive a partial delivery?

Yes. Goods received can be recorded against part of a purchase order. The received quantities update stock immediately, and the remaining lines stay open until the rest of the order arrives or you close them. That keeps your open purchase orders an accurate picture of what is still expected.

Does SeroPOS have purchase orders?

Yes. SeroPOS includes purchase orders, supplier records, stock transfers and adjustments, and vendor management is part of the Standard plan at $29.99 a month in USD. For full accounts payable with bills, payment runs, cheques and foreign-currency suppliers, SeroBooks adds the ledger side.

Can Maya write purchase orders?

Yes. Maya, the AI employee in SeroBooks, can draft purchase orders and reorder points based on your sales, stock and supplier lead times, but never sends or posts anything without a person’s approval, and every action Maya takes is recorded in the audit trail.
