QuickBooks Online integration for SeroPOS and SeroBooks
Keep QuickBooks Online and send it clean sales from SeroPOS, or bring your QuickBooks Online data into SeroBooks and run everything on one ledger. Two routes, your choice.
QuickBooks Online, handled by Sero
SeroPOS → QuickBooks Online sync
SeroPOS Pro sends sales, tax and payment totals to QuickBooks Online so your accountant keeps working where they already are.
Import into SeroBooks
Bring QuickBooks Online data into SeroBooks when you’re ready to run sales, stock and the ledger in one system.
Included in SeroPOS Pro
QuickBooks and Xero sync is part of the SeroPOS Pro plan at $49.99/mo or $499.99/yr.
Tax collected stays separate
GST/HST, PST, QST and US sales tax collected at the till post as liabilities, not as revenue.
No double entry
Sales rung on the POS don’t need to be typed again into the books, which removes a common source of mistakes.
A path to one ledger
If you outgrow the sync, SeroBooks takes over the ledger and SeroPOS posts straight into it.
One company, one login, three products that share their numbers
SeroPOS
The point of sale built for the rush.
Point of sale for restaurants and retail — tables, kitchen tickets, inventory, loyalty and online ordering on iPad, Android, Windows and Mac.
SeroBooks
The books, the store, the bank. One ledger.
Accounting that runs the whole business — invoicing, inventory, banking, sales tax, payroll and year-end for Canada and the United States.
SeroPayroll
Payroll for every province. Right to the cent.
Canadian payroll for all 13 provinces and territories — CPP, EI, QPP, vacation, stat holidays, remittances, T4s and ROEs.
Two ways to use QuickBooks Online with Sero
Plenty of businesses arrive with QuickBooks Online already in place and an accountant who likes it. For them, SeroPOS Pro is the till and QuickBooks Online stays the ledger. Sales, taxes and tenders flow from the register to the books, and the month-end close looks the same as it always has. Nobody has to learn a new accounting system to get a better point of sale.
Others want to stop paying for two systems that only partly talk to each other. SeroBooks can import QuickBooks Online data so customers, suppliers, items and history come across, and then SeroPOS posts into SeroBooks directly. Same company, same ledger, no connector in between to break or to reauthorize. Which route is right depends on your inventory, your locations and how your accountant likes to work.
- Route 1: SeroPOS Pro syncs into QuickBooks Online
- Route 2: import QuickBooks Online into SeroBooks, then run POS and books together
What the SeroPOS sync sends
The point of a POS-to-accounting sync is that your bookkeeper sees summarized, correctly coded sales without retyping receipts. SeroPOS groups the day’s activity so the revenue, the tax collected and the payment methods land in the accounts you mapped. Cash, card and online tenders arrive separately, which means each one can be reconciled against the deposits that actually reach your bank account.
Inventory detail, modifiers, table numbers and staff data stay in SeroPOS, where its 25+ live reports can use them and export them to Excel or PDF. QuickBooks Online gets what an accountant needs for the general ledger. That keeps the company file tidy and fast, and stops it from filling up with thousands of tiny line items that nobody will ever review.
When moving the books to SeroBooks makes sense
If you sell physical products, a POS sync often runs into limits: stock values in one system, cost of goods in another, purchase orders somewhere else. SeroBooks keeps inventory, purchasing, invoicing, banking and the general ledger in one double-entry system with 160+ built-in reports, so the inventory figure on the balance sheet comes from the same records your staff count.
SeroBooks is built for Canada and the US, with GST/HST/PST/QST for every province, US sales tax with economic nexus tracking across 50 states, and T2/GIFI at year-end. Plans start at $79.99/mo for Starter, and SeroBooks Pro at $300/mo adds Canadian and US payroll, forecasting, job costing and an audit trail. Every plan has a 14-day free trial.
Setting it up
For the sync, you connect QuickBooks Online from the SeroPOS back office on the Pro plan and map your sales, tax and payment accounts once. After that, the register does the work and your accountant reviews the results in QuickBooks Online. If you run several locations, map each one so chain reporting in SeroPOS lines up with how the books are organised.
For a move to SeroBooks, start a 14-day trial, run the import, and compare the opening balances with your last QuickBooks Online reports before you switch over. Keep QuickBooks Online available read-only for a period so you can look things up while the team settles in. Accountant practice seats in SeroBooks are free, so your accountant can review the setup before go-live.
- Choose sync or import
- Map accounts or run the import
- Check balances against your last QuickBooks Online reports
- Go live and keep the old file for reference
Frequently asked questions
Does SeroPOS integrate with QuickBooks Online?
Yes. QuickBooks Online sync is included in SeroPOS Pro, which costs $49.99 a month or $499.99 a year in USD. You connect your QuickBooks Online company from the SeroPOS back office, map your sales, tax and payment accounts, and the register sends sales data across so nobody has to key daily totals into the books by hand.
Can I move from QuickBooks Online to SeroBooks?
Yes. SeroBooks can import QuickBooks Online data, so your customers, suppliers, items and history come with you. Once you’re on SeroBooks, SeroPOS posts straight into the same ledger without a connector. Most businesses compare opening balances against their final QuickBooks Online reports before switching for good, and keep the old file for reference.
Which plan do I need for the QuickBooks Online sync?
On SeroPOS, the QuickBooks and Xero sync is part of the Pro plan at $49.99 a month. SeroPOS Standard at $29.99 a month doesn’t include it. If you use SeroBooks as your ledger instead, you don’t need a sync at all, because SeroPOS and SeroBooks are the same company’s products and post to one ledger.
Will sales tax be recorded correctly?
Tax collected at the till is sent as a liability, separate from revenue, so your GST/HST, PST, QST or US sales tax balances are ready for filing. You map each tax rate to the right QuickBooks Online account during setup, and that mapping stays in place for every sync afterwards, so returns don’t need a separate clean-up.
Should I keep QuickBooks Online or switch to SeroBooks?
Keep QuickBooks Online if your accountant depends on it and your inventory needs are light; the SeroPOS sync covers you. Consider SeroBooks if you sell physical products, run more than one location, or want inventory, purchasing, payroll and the ledger in one system instead of several connected ones that each need maintaining.
