When the owner stops doing everything

The first hires change how a business runs. A bookkeeper needs to enter bills but should not approve them. A store manager needs sales reports but not payroll. A part-time cashier needs the till and nothing else. If your software has only “admin” and “user”, you either over-share or end up doing the work yourself.

Sero is built for that stage. Permissions are granular, approvals put a person between a draft and a posted document, and payroll and HR live next to the books instead of in separate tools that each need their own logins and their own exports. That keeps growth from turning into admin.

Roles and permissions that actually hold

SeroBooks roles use View and Allow permissions across 207 nodes, and every one is enforced on the server. Hiding a button is not the same as preventing an action. If a role cannot post a journal entry, the server refuses the request no matter which app or screen sent it.

SeroPOS has its own role-based permissions for the till and back office, and SeroPayroll separates Admin, Payroll and Read-only roles. Step-up authentication protects sensitive actions, and accountants get free practice seats with their own login rather than a shared owner password. Everyone signs in as themselves, which is what makes the audit trail meaningful.

  • View and Allow per permission node
  • Enforcement on the server, not just in the interface
  • Admin, Payroll and Read-only roles in SeroPayroll
  • Free practice seats for your accountant

Approvals and an audit trail

Approvals in SeroBooks put a manager or owner between a draft and a posted document. As purchasing spreads across more people, this keeps commitments visible without slowing day-to-day work. Period locks prevent anyone from posting into a month you have already closed. Approvals are also a training tool for new staff.

On SeroBooks Pro, the append-only audit trail records every change with the user and time. Maya, the AI employee in SeroBooks, follows the same rules: it can draft purchase orders and reorder points, but nothing happens without approval, and two-person approval is available for higher-value actions. Value caps and a kill switch add further limits.

Payroll and HR for a bigger crew

In Canada, SeroPayroll runs payroll for all 13 provinces and territories, starting at $25/mo for up to 10 employees and stepping up to $50/mo for 11 to 50. Employees who are only paid do not need a login. Timesheets and a time clock feed hours into pay runs, which post to the general ledger once.

SeroBooks Pro includes payroll for Canada and the US in the same ledger. On the floor, SeroPOS HRM tracks attendance, leave, shifts, KPIs and employee documents, and staff performance reports show who sold what during each shift. Register shifts and Z-reports tie cash back to the person who ran the drawer.

  • SeroPayroll Starter: up to 10 employees, $25/mo
  • SeroPayroll Team: 11 to 50 employees, $50/mo
  • SeroPOS HRM: attendance, leave, shifts, KPIs, documents
  • Team chat inside SeroBooks

Adding seats and locations

SeroBooks Starter and Standard include 5 users and 1 location, and Pro includes 6 users and 3 locations. When the team outgrows that, add five more users for $100/mo or another location for $100/mo, which applies to SeroPOS and SeroBooks alike. If you are opening a second store, the new location gets its own stock, registers and reports while the books stay consolidated.

Because pricing is per business rather than per seat, you are not deciding whether a seasonal hire is worth a full licence. Give them the role they need, remove access when the season ends, and the audit trail keeps a record of everything they did while they had it. No orphaned logins.

Frequently asked questions

How detailed are permissions in SeroBooks?

SeroBooks has 207 permission nodes, each with View and Allow settings, and they are enforced on the server rather than only hidden in the interface. That means a role that cannot approve bills or post journal entries is blocked even if someone tries a different screen or app. Step-up authentication protects sensitive actions.

How much does it cost to add users?

SeroBooks Starter and Standard include 5 users, and Pro includes 6. You can add five more users for $100/mo. An extra location is also $100/mo and applies to SeroPOS and SeroBooks alike. Accountants get practice seats free, and SeroPayroll employees who are only paid do not need a login.

Can managers draft purchases that I approve?

Yes. SeroBooks approvals let a team member prepare a document and route it for approval before it posts. Period locks stop changes to closed months, and on SeroBooks Pro the append-only audit trail shows who created, approved and changed each record.

Does Sero handle scheduling and attendance?

SeroPOS includes HRM with attendance, leave, shifts, KPIs and employee documents, plus staff performance reports. SeroPayroll has timesheets and a time clock that feed hours into pay runs. For payroll, SeroPayroll covers Canada from $25/mo for up to 10 employees, and SeroBooks Pro includes Canadian and US payroll.

Can my accountant access the books without my password?

Yes. SeroBooks gives accountants free practice seats with their own login. You assign them a role, so they can see and do exactly what you allow, and every change is recorded in the audit trail on Pro. Nobody needs to share the owner login, which also keeps your own access secure.
